Provides administrative support to the SVP Chief Financial Officer. May serve as back up to the Corporate Executive Assistant and/or Administrative Officer to the CEO
Receive and screen telephone calls, letters, and/or visitors. Support the CFO in management of calendar and contacts. Assist in preparation for upcoming meetings and deadlines; organize materials; identify any potential meeting and/or deadline conflicts.
Professionally interact with business contacts which includes people at all levels of the organization, industry and community. Must be trustworthy, diplomatic and discrete (This position will regularly be party to confidential information).
Answer routine questions, obtain and furnish information for CFO. Schedule appointments and meetings. Route or answer routine letters and memo's not requiring CFO’s personal attention. Draft correspondence for CFO’s final approval. Prepare routine letters and memos for signature.
Communicate and/or coordinate CFO’s instructions with various individuals and/or departments. Furnish information to and from other senior management individuals or outside representatives.
Assist the process of funding donations to nonprofits as directed by Marketing; requesting check and sending to organization.
Prepare expense reports on Concur and reconcile debit card expenses and mileage for CFO.
Make all hotel and travel related reservations for CFO and any Board Members and Senior Officers, including registration to conferences and conventions. Arrange for all transportation and activities related to the conventions and business trips. Research with Administrative Officer and/or Corporate Executive Assistant off-site venues for meetings including venue, meeting requirements and all reservations in association with that meeting.
Prepares and maintains reports, correspondence, memos and presentations which may include creating PowerPoint presentations as necessary.
Assist with coordination of and compilation of any information and/or reports for any type of audit.
Assist with Strategic Plan and assist Senior Management in preparing their Plan, if necessary.
Open and route incoming and outgoing mail. Attach routing slips to publications if necessary.
Makes copies, prepares and scans and sends faxes and files.
Serve as a backup for Corporate Executive Assistant.
Assists other executives as needed.
EDUCATION and/or EXPERIENCE
At least 3 years’ recent experience supporting a CFO or other Finance Executive in a financial institution. Associate’s degree (A.A.) from a two-year college or university; is preferred.
OTHER SKILLS AND ABILITIES
Strong attention to detail skills required. Highly organized and methodical with excellent time management skills with the ability to multitask and prioritize tasks to meet deadlines. Able to work quickly and rapidly adapt to changing surroundings. Requires a high level of professionalism, tact and diplomacy when working with confidential information. Familiarity with Forms 10-K 10-Q Annual/Quarterly report and filings.
Excellent technology skills including but not limited to Microsoft Office (Word, PowerPoint, and Outlook) Adobe Acrobat, and Diligent Board Books. Must be internet savvy. Ability to use electronic document organization, file management and search and retrieval systems.
Familiarity with office equipment including but not limited to computer, fax, phone, and copy/scanner.
Must possess excellent written and verbal interpersonal communication skills with professional tone and correct grammar/spelling. Strong understanding of how to construct professional documents such as letters, memos, emails and announcements. Ability to edit and format documents with consistency.
