  • Overview

    Ensures that, as the head of the corporate services group, the bank's facilities and other fixed assets are properly maintained and secured, that office supplies and other equipment and related services are efficiently secured, and all records are properly stored and retained.

     

    Responsibilities

    Plans, budgets, and schedules facilities modifications including cost estimates, bid sheets, layouts, and contracts for construction and acquisitions as well as managing facility systems.

     

    Primary manager for all new construction projects.

     

    Prepares an annual budget for regular maintenance or repairs, utilities and purchases.

     

    Maintains a thorough understanding of facility data systems

     

    Oversees facilities work on any newly acquired buildings whether purchased or leased, dealing with zoning requirements, working with architects on building plans and construction supervision.

     

    Oversees the coordination of building space allocation, layout, and communication services.

     

    Manages the day to day operations of the department to ensure that all locations are properly maintained, supplied and cleaned.   Ensure facilities exteriors and interiors are aesthetically pleasing.  Ensure compliance with OSHA and ADA standards pertinent to the physical structure.

     

    Oversees the coordination of procurement of all necessary maintenance and repair services for all bank properties while maintaining accurate records.

     

    Ensure the bank's furniture and fixed assets are maintained, adequately protected by third party contracts and are accounted for in in a manner that allows need of the operating departments to be fulfilled.

     

    Ensure efficient and effective communications - mail and courier - between all locations. 

     

    Ensure we have a proper retention policy in place for all records and control over their access.

     

    Manage purchase of equipment and furniture, negotiate all related contracts.  Maintain purchase and inventory control system to ensure supplies are kept at optimum levels.

     

    Provide support to all departments in the ordering, delivery, installation and ongoing maintenance of furniture and fixtures.

     

    Maintains an awareness of laws and regulations affecting the department and/or areas of responsibility.

     

    SUPERVISORY RESPONSIBILITIES

    This position supervises the employees of the Corporate Services Department. The department currently has 7 employees.  Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

     

    Qualifications

    EDUCATION and/or EXPERIENCE

    -Undergraduate degree in facilities, construction, engineering or business related field or equivalent experience.

    -A minimum of 5 years successful experience in the operation of multiple facilities.

    -Working knowledge of security systems and facility systems, such as HVAC, electrical, plumbing, etc.

    -Basic understanding of and familiarity with building codes, municipal building permit process, etc.

    -Working familiarity with statutory and other related aspects of disaster recovery and security provisions and plans.

    -Working knowledge of blueprints and the ability to work with architects, contractors and engineers.

    -Skilled in computer word-processing and spreadsheet applications.

    -Effective communication skills, high organizational skills with emphasis on timely and proper planning and completion of facilities work.

     

    LANGUAGE SKILLS

    Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents.  Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.  Ability to write speeches and articles for publication that conform to prescribed style and format.  Ability to effectively present information to top management, public groups, and/or boards of directors.

     

    MATHEMATICAL SKILLS

    Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry.  Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

     

    REASONING ABILITY

    Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
